How do we set a replacement allowance instead of approving every request differently?

Define eligibility, the allowance period, covered products and who approves exceptions for damage or role changes. Then decide how the rules will be administered. A purchasing policy can be manual or supported by a scoped portal; automated allowance enforcement is not assumed.

What happens when an employee needs a different size?

Check the exact garment's size chart and whether the item has already been decorated or personalized. Contact the team before returning goods or promising an exchange. Custom-order terms and the published return policy determine the review process; sizing changes are not automatically free replacements.

How should we handle uniforms when an employee changes departments?

Compare the employee's current items with the approved issue for the new role. Order only the differences your policy requires, using the new department reference and approver. Keep optional apparel separate so the transfer does not unintentionally trigger an entire new kit.

Can we separate employer-funded uniforms from optional employee purchases?

Yes, the purchasing workflow can be scoped with clearly labeled assortments and payment responsibilities. Your HR or legal team should set the employment policy. Payroll deductions, employee copayments and related system connections are not automatically part of a merchandise program.

What should we compare when deciding between purchased uniforms and rental?

A purchased-apparel quote does not automatically include laundry, collection or a rental-service replacement arrangement.

Which details should we save after an approved uniform order?

That record reduces repeated decisions, but future availability, prices and lead times still require confirmation.
